Guest Relations Reservationist and Sales Specialist

Responsibilities and Tasks

The essential duties and responsibilities of this position include the following. Other duties may be assigned.

·         Serves as primary telephone contact for White Oak reservations and information line during normal working hours.

·         Acts as primary contact for scheduling public events, to include, but not limited to:  Wildlife Tours, Sunset Safaris, Education Camps, and other events open to the public. 

·         Acts as primary cashier for White Oak Gift shop

·         Assists with management of the White Oak gift shop to include:  set-up, ordering, sales-tracking, reporting, researching new product lines, and buying strategies to a profitable revenue stream.

·         Answers telephone and email inquiries related to White Oak meeting and guest spaces.

·         Proactively seeks new contacts and opportunities with all civic and industry organizations, corporate meeting planners, and event and booking representatives to promote or solicit tours and overnight stays

·         Assists and advises the Guest Relations Team, as necessary, to ensure the successful achievement of the organization’s short and long-term goals and objectives.

·         Assists in compiling on-going sales activity reports for Guest Relations and management teams.

·         Works closely with Culinary, Guest Relations, Housekeeping and Conservation Education teams to help coordinate events and achieve positive guest experience

·         Works closely with the Conference and Events Coordinator to invoice individuals and guest groups accurately in accordance with event agreements and contracts

·         Verifies space reservations by letter, draws up letters of agreement, obtains signatures and insurance certifications, and collects deposits for events and conferences.

·         Conducts site tours/visits with potential guests.

·         Serves as event coordinator, when necessary, during functions ensuring positive guest experience.

·         Schedules and tracks event requirements, including special and unusual requests, and communicates with appropriate White Oak team members.

·         Gathers accurate event information and ensures that event setups are accurate and that information is efficiently communicated to staff.  This includes updating the daily activity report.

·         Manages event engagements including the timely issuance of agreements, estimates, event profiles, and post events summaries.

·         Maintains and manages the guest calendar/memos and acts as liaison between departments and other staff who have access to event information.

·         As time allows, provides support to Guest Services teams as needed

·         Keeps the Director of Operations informed on all event negotiations in an efficient and timely manner.

Minimum Qualification Requirements

·         Five years of experience in an event coordination, sales, marketing, or guest relations environment. 

·         Advanced computer software skills required, including Microsoft Excel

·         Adequate knowledge of personalized services, principles and processes. 

·         Excellent problem resolution skills along with outstanding communication and active listening and telephone skills. 

·         Guest service orientation and drive. 

·         Highly responsible and reliable with a professional presentation

·         Experience with needs assessment techniques, quality standards and satisfaction evaluation techniques

Preferred Qualification

·         BS degree in hospitality management, business administration, marketing, or related field.

·         Experience managing a retail gift shop to include product selection, sales, inventory management and order management

·         Experience with merchandising and product display

·         Experience with e-commerce applications and implementing online stores

 

Special Working Conditions

Must be able to work nights, weekends and holidays.  Must be able to lift 50 pounds regularly.  Must have valid driver’s license.
